FuelerLinx USER GUIDE - How to Dispatch from the Scheduling Integration

SUBJECT: How to Dispatch from the Scheduling Integration
  1. Click “Scheduling Integration” > Select Tail:
  1. Sort by Trip Number or Date:

Note: The Scheduling Integration module will only appear if you have a Scheduling program connected to FuelerLinx (Avianis, BART, FOS, etc.)  For a complete list of Scheduling Programs we integrate with, go to Settings (top right) and click “Integrations”.  Also, if a tail is not appearing it’s most likely due to not having a trip within a certain number of days in the Scheduling program (the “Days Out” setting can be adjusted in the Integrations settings).
  1. Trip data such as ICAO, Arrival Dates/Time and Departure Dates/Times will appear:
  1. Click “Get Fuel Quote” to load pricing:

  1. Let pricing load into the system (this could take a moment dependent on the fuel vendor’s web service):
  1. Fuel price options will appear > Click to expand and see more pricing options for that leg:

  1. There will be multiple pricing options with FBO, Product/Requirement, Vendor and PPG listed > Select pricing option you would like to dispatch for:
Note: A yellow star next to the FBO name means that’s the preferred or selected FBO.  This can be set by clicking the Star or it is pre-selected from the Scheduling Program. 
  1. Click Dispatch Fuel:

  1. Verify locations being dispatched for > Select which emails to copy on email confirmations > Click Dispatch Fuel:
  1. The legs will turn green meaning that fuel has been dispatched for:
Note:  The FuelerLinx notes will push to the “Trip Sheet Notes” section of your Scheduling Program if the Scheduling platform has the capability.  Also, some fuel vendors will get notified after dispatching in FuelerLinx and the Vendor will send out a fuel release if they require one.
